When something is wrong

Returns, Warranties and Defective Goods

What to do about a defective, incorrect or unwanted item, and how manufacturer warranties work.

Effective 26 September 2026 · Olympic Cleaning Solutions (Pty) Ltd t/a XP Suppliers

These terms use plain language for customers. They do not remove any mandatory right you have under South African law. If a mandatory law gives you greater protection, that law prevails.

1. Before you return anything

Contact us at info@xpsuppliers.co.za with the invoice number, the part number and a description of the problem. We will issue a returns authorisation and tell you where to send the goods. Unauthorised returns may be refused or held at your risk.

2. Defective goods

  • Tell us as soon as you become aware of a defect, and stop using the item.
  • We will assess the item, or send it to the manufacturer for assessment where the warranty requires that.
  • Where the claim succeeds, we will repair, replace or credit the item — the choice is ours.
  • A claim may be declined where the fault results from misuse, incorrect installation, unauthorised repair, power surge, normal wear or use outside the manufacturer's stated rating.

3. Incorrect or short-supplied items

If we supplied the wrong item or short-supplied an order, tell us within 7 days of delivery and we will correct it at our cost.

4. Items you no longer want

  • Goods ordered in error or no longer required may be returned only with our authorisation.
  • They must be unused, complete, in original undamaged packaging, and returned within 14 days of delivery.
  • A handling fee may apply, and return carriage is for your account.
  • Special-order, indent, cut-to-length, custom-made and clearance items cannot be returned unless defective.

5. Manufacturer warranties

Goods carry the warranty offered by their manufacturer or authorised distributor. That warranty, and not this policy, sets the period and the remedy. We pass it through to you and will help you claim under it, but we do not extend it and we are not the warrantor.

Where the Consumer Protection Act, 2008 applies to your purchase, the rights it gives you — including the six-month right in section 56 — apply in addition to any manufacturer warranty, and nothing here limits them.

6. Credits and refunds

Approved credits are processed to your account, or refunded to the account the payment came from, within 15 business days of the goods being received and assessed.
